It’s not just daylight you could save this spring

It is that time of year where once again we all complain bitterly as the return to an early morning gloom through sleep deprived eyes heralds the return of daylight savings (BST in the UK) but what is ‘stolen’ from us in our sleep, is returned with a longer evening of light – one hour more in fact. With the herald of Spring the endless calls to clean and get your house in order inevitably follow and who are we to buck the trend! So here are PacSol’s Spring tips:

Spring Clean your platform (and associated kit)

Last year we wrote a blog encouraging everyone to perform a few basic maintenance tasks (most of which could be completed in the BST hour) which will keep your document management platform working optimally (or certainly to the best of its currently configured ability – more on that below)

Shine a light on the success

With that extra daylight, open the blinds and take a good look at your business process over the last year. Even if nothing has changed for a few years, identify where a process has been successful, look for an example of where technology has provided a secure, compliant but most importantly efficient solution that has empowered that department. Ask yourself:

  • What is the essence of that process solution that returns the most benefit to the department?
  • Can that process (or its principal) be copied across to other departments to provide extended benefits?
  • Despite its success, is there scope for even further gains (continuous improvement)?

Seek out the hidden ‘crutches’

Having driven the shadows away, it is time to look for those ‘crutches’ – the practical actions by employees or the standalone applications installed to address a particular process snag that are still leant on today to complete a task. Undoubtedly this ‘crutch’ is reducing the efficiency of the business process. Perhaps take an hour to:

  • Identify the original reason for the workaround
  • Check to see if the issue has been rectified by a change in the installed solution provider software
  • Review the whole process as potentially a redesign would create greater efficiency and remove the issue
